Information we collect

Depending on how you interact with us, we may collect:

• your name, email address, phone number and optional date of birth;
• appointment details, including the service selected, preferred date and time, booking reference, and clinic or studio location;
• location or access information you provide for an appointment;
• optional treatment information you choose to provide, such as treatment focus areas, pain level, relevant health conditions, massage experience and special requests; and
• information you provide to our AI booking assistant, such as your enquiry, contact details, appointment preferences and booking-related messages; and
• technical information processed when you visit the site, such as your IP address, browser/device information and request logs. This may be collected by our hosting and service providers as part of operating and securing the site.

Why we collect and use information

We use personal information to:

• respond to enquiries and create, administer, confirm, change or cancel appointments;
• use our AI booking assistant to answer booking-related questions, help with appointment requests and pass relevant information to Sean for follow-up;
• provide treatment safely and tailor the appointment to information you voluntarily share;
• send booking acknowledgements, confirmations and service-related communications;
• manage appointment availability, business records, security, troubleshooting and legal obligations; and
• improve the reliability and usability of our website and booking service.

Health and treatment information is optional in the online booking flow. Please provide only information relevant to your appointment.

When we share information

We do not sell your personal information. We share information only where needed to operate our service, including with:

• Amazon Web Services, which provides website, booking-system, database and email-delivery infrastructure;
• providers that support our AI booking assistant, which processes booking-related messages to help us respond to enquiries and manage appointments;
• Google Calendar, to add and manage booking appointments;
• Google Maps and Google Fonts, which are loaded on the website and may receive technical information such as your IP address and browser information when their content is requested; and
• professional advisers, regulators, law-enforcement bodies or other parties where required or permitted by law, or to protect rights, safety and security.

Our website includes links to social-media services, including Facebook. If you follow one of those links, the relevant service handles your information under its own privacy policy. We do not collect your Facebook profile information through this website.

The AI booking assistant does not make treatment decisions or provide a substitute for professional health advice. Please avoid sharing sensitive health information in the assistant unless it is necessary for your booking; you can discuss treatment information directly with Sean instead.

Cookies and similar technologies

We do not currently use advertising cookies, Meta Pixel or other website analytics trackers. Our booking service may use browser storage only if an authentication token is required for an API request. Third-party content such as Google Maps and Google Fonts may set or read cookies according to the third party's own practices.

Data storage, security and international processing

Booking information is stored in our booking system and may be processed by the service providers listed above, including outside Australia. We take reasonable steps designed to protect personal information from unauthorised access, loss, misuse or disclosure. No internet transmission or storage system is completely secure.

How long we keep information

We keep personal information only for as long as reasonably necessary for appointments, client care, record keeping, dispute resolution, security and legal obligations. We may retain limited information where required by law or needed to establish, exercise or defend a legal claim.

Access, correction and data deletion

You may ask to access or correct your personal information, or request deletion of the personal information we hold about you. To make a request, email [email protected] with the subject line “Privacy request” and include the email address and phone number used for your booking so we can identify your records. We may ask for information to verify your identity before acting on a request.

We will respond within a reasonable time. If we cannot delete particular information because of a legal obligation or another lawful reason, we will explain what we can do and retain only what is necessary.

Children

Our website and booking service are not directed to children. If you believe a child has provided us personal information without appropriate authority, please contact us so we can review and, where appropriate, delete it.

Changes to this policy

We may update this policy when our practices or legal requirements change. The current version will always be published on this page with its updated date.
